live in a timer app, a notebook, or your memory - reconstructed "eventually, usually days or weeks after the fact." Every forgotten entry is unbilled revenue.
Your client notes
live in your inbox and scattered docs. What was agreed on the last call isn't tied to the client it was agreed with - so recaps and follow-through are manual and slow.
Your invoices
get rebuilt at month-end from both of the above. "One quick question" becomes five unpaid hours because nobody was counting against the scope.
Lightweight CRMs skip time and billing. Time trackers don't know your clients. AI notetakers dead-end into a notes archive. The closest all-in-ones each hold two of the three - none puts the recap next to the hours and the money on one record. That join is the whole product.
Your free first run
- Request the pilot without sending client data. Tell me how many active clients you have, how you bill, and where your notes and time live today.
- Agree the input and handling first. I will explain the manual process, the tools involved, and when the working material will be deleted. You can use synthetic or redacted information throughout.
- Send one small, real example. A redacted client row, engagement rate or retainer, time spent, and notes or a transcript from one recent meeting are enough.
- Receive the finished record within 24 hours. You get the meeting recap, decisions, next actions, follow-up draft, time entry and billing-ready total together.

No card is required for the first run. I will ask whether you want to continue at $29/month before processing another client interaction.
A deliberately small-data pilot.
- ✓ Your first message should contain no client files or confidential details.
- ✓ Exactly two things touch your material: this email inbox, and Anthropic's Claude API (a commercial large-language model used to draft the recap and follow-up). Under its commercial API terms, submitted material is not used to train models. There is no other software, no database, no analytics on your content.
- ✓ Working copies are deleted within 30 days of your pilot ending, or immediately on request - whichever comes first.
- ✓ Redacted or synthetic notes are welcome - and encouraged for the first run. Never send passwords or account access.
- ✓ Nothing is sent to a client automatically. You review and control every follow-up.
Redacting takes two minutes
- Swap client and person names for labels ("Client A", "their CFO").
- Round or placeholder any amounts you consider sensitive - the arithmetic still works.
- Delete anything you wouldn't forward to your accountant. The brief survives it.

Why not Notion + a free time tracker + a free notetaker?
That stack is the incumbent - and it's exactly the fragmentation this replaces. Each piece is fine alone; the join is manual: you are the integration, copying hours, notes, and follow-ups between three tabs. ButlerDesk is the join - recap, hours, and money on one client record.
Do you record my calls?
No. Recording and transcription are solved - keep whatever notetaker you already use (Fathom's free tier is excellent). ButlerDesk starts where they stop: the transcript lands on the client record, next to the billing, as a recap and a drafted follow-up.

What exactly processes my notes?
Two things: my email inbox, and Anthropic's Claude API, which drafts the recap and follow-up from what you send. Its commercial API terms exclude your material from model training. No other tool sees your content, working copies are deleted within 30 days of the pilot ending (or on request), and the privacy notice spells all of this out.
Is this already a self-serve app?
No. This is a founder-run pilot delivered over email while the repeated workflow is being learned. You are paying for the ongoing result, not being asked to pretend an unfinished application exists.

Mention the tool in your first email, but do not attach the export yet. I will first map what can be used, what should be redacted, and what would still require cleanup.
