From sign-up to a finished client record in four steps:
- Create your account. Sign up with Google, or with your email and a password. No card, and no client data is needed at this stage.
- Set up your first client. Add the engagement terms ButlerDesk uses to calculate time and billing — rate, retainer or flat fee, and billing period. Redacted or placeholder details are fine.
- Submit notes from a real meeting. Paste the notes or upload the transcript from your existing notetaker (.txt, .vtt, .md). ButlerDesk doesn't join or record calls.
- Review the completed record in minutes. The recap, next actions, follow-up draft, time entry and billing-ready total, together on the client's record — every field editable before you use it.

How your data is handled
ButlerDesk is designed to need very little of your data. You control what you share, and nothing is ever sent to a client automatically.
- ✓ No client data is needed to start. Sign up with Google or your email — nothing about your clients is collected at signup.
- ✓ Your material is isolated to your account. Every record and transcript is held in access-controlled storage that only your sign-in can read, and shared only with the services needed to produce your record. Your material is never used to train AI models, and no analytics access your content.
- ✓ Export and deletion are self-serve. Download everything as one file any time. Deleting your account removes every record and file immediately and permanently, whenever you choose — nothing is deleted automatically.
- ✓ Redaction is welcome — and encouraged. Never send passwords or account access.

Before sharing meeting notes
- Swap client and person names for labels ("Client A", "their CFO").
- Round or placeholder any amounts you consider sensitive - the arithmetic still works.
- Leave out anything that isn't needed for the recap, follow-up or billing record.
Common questions
Is there a free trial?
Your first client setup and first processed meeting are free, entirely in the app, no card needed. You submit the notes and within minutes the recap, next actions, a drafted client email, time entry and billing position are on the client record — nothing is sent to your client. If you want to continue, it's $29/month.
Does ButlerDesk record or join my calls?
No. Keep whatever notetaker you already use (Fathom's free tier is excellent). ButlerDesk works from the notes you paste or the transcript you upload after the meeting.
Does ButlerDesk send anything to my clients?
No. The follow-up email is prepared as a draft. You review, edit and send it yourself — nothing goes out automatically.
Do I need to replace my current tools?
No. ButlerDesk fits alongside your meeting, note-taking and invoicing tools. It brings the recap, hours and billing together on one client record — the part those tools leave to you.
Why not just use a free time tracker, a notetaker and a spreadsheet?
You can — and plenty of consultants do. The catch is that the recap lives in one place, the hours in another, and the billing in a third, so every client interaction means stitching three tools back together by hand. ButlerDesk's whole job is the join: the recap, the hours and the billing land on the same client record, from the same set of notes.
How is this different from an all-in-one like Moxie or HoneyBook?
Those tools aim to run your whole business — pipeline, proposals, contracts, portals — and leave the meeting itself to you. ButlerDesk goes the other way: it does the post-meeting record deeply (the recap tied to consulting-shaped engagements — retainers with overage, day rates, utilization) and skips the bloat. How is my data handled?
Your material is isolated to your account and shared only with the services needed to produce your record. It is never used to train AI models. You can export everything as one file or delete your account — and all of its data, immediately — from Settings, whenever you choose. The privacy notice spells all of this out, service by service.
